A is for audio-visual
Great sound and lighting can add real impact to an event; use a specialist team if you have the budget. It’s worth remembering that your presenters may have differing IT requirements, so check in plenty of time!
B is for budget
Create a balance sheet for all areas of cost for your event: Marketing the event; food; beverage; transport; speakers; audio-visual. Include a contingency fund! Expect some drop out in attendance – this can sometimes leave you with unexpected costs. If you’re unsure, gauge the budget against past similar events, and ask your finance department for support if you need it. Always make sure you have the relevant signatures before committing to additional spend.
C is for catering
All our venues have organic, seasonal and local produce available so make sure you discuss your food and beverage requirements with our specialists, and don’t forget to check with your delegates for those all important special dietary requirements! If you’re organising a training event or have intense presentations after lunch, consider a lighter option to keep your delegates alert.
D is for delegate list
Double check with colleagues that you’ve included everyone you need to – no-one likes to be forgotten Do you need to register your delegates? What will work best – on-line or on the day? Have you organised name badges if required?
E is for environment

F is for fun
Having an element of fun can retain delegates’ attention for longer and revive energy levels Consider team building activities How about a stadium tour? Many of our venues can include this in your event Ice breakers can really warm up an audience and help build rapport

The right guest speaker can help reiterate key messages An interesting or well known speaker can help with attendance levels
H is for Host

I is for Itinerary
Generally delegates like to know the agenda of the day especially when it comes to food so check timings on all presentations and adjust breaks if necessary. Ensure all presenters have checked their own timings and they are in-line with the event itinerary
J is for Journey
No one likes being late, lost or worse, both! So to avoid this make sure all delegates are supplied with an easy to follow location map to aid their journey. Include all public transport routes and overnight accommodation too
K is for Kudos

If you don’t measure your event how do you know if it was a success? Think about on-line surveys for feedback. If possible do a before and after to gauge your delegates responses If applicable think about measurable objectives and set them before planning the event detail
N is for networking
If networking is important to the event, choose an environments that will encourage circulating i.e. a drinks reception and canapés. To aid conversations at such events make sure everyone has name badges

We all work to budgets so make sure you ask about the payment policy of the venue to ensure it meets your requirements
